Section One – Commissioner Duties
A.Shall be Executive Officer of the organization.
B.Shall preside over all the Executive Board, Annual and any Special Meetings.
C.Shall see that orders and resolutions of the Executive Board are to be carried out.
D.Shall be an ex-officio member of all committees, except Nominating Committee
E.Shall have the authority to appoint members of the committee(s) as outlined in “Bylaws, Article Four – Committees”.
F.Shall appoint the webmaster with a majority of the approval of the Executive Board.G.Shall insert updated any or all organization documents on the website.
Section Two – Secretary/Treasurer Duties
A.Shall perform the duties of Commissioner in the absence or inability of the latter, or whenever the Commissioner may wish to take the floor.
B.Shall keep the records of all meetings of all meetings, conduct all official correspondences and keep a complete record of all events held under the auspices of this association.
C.Shall send copies of all meeting minutes to the Executive Board, delegates and team representatives within thirty (30) days following the close of said meeting.
D.Shall insert those minutes on the website at the end of September.
E.Shall collaborate with the webmaster to keep the SWSAD website updated and current.
F.Shall receive all monies of the teams and remit all fees due and pay all outstanding bills approved by the Commissioner and a majority of the Executive Board.
G.Shall deposit all monies to the credit of the SWSAD funds in a reputable bank in the city of residence.
H.Shall furnish a financial report and use transparency on overhead and/or power point projector for Annual Meeting to be read at the meeting.
I.Shall send roster forms and fee to coaches.
J.Shall obtain a copy of all players, audiograms and necessary documents as needed.K.Shall provide all the bank statements, receipts/invoices, ledgers sixty (60) days to quarterly, every four (4) months on the first (1st) day of January, May and September to the auditors by email in PDF format.
Section Three – Tournament Directors Duties
A.Shall be responsible for maintaining the permanent files and materials of the Hall of Fame.
B.Shall be responsible for the purchase, maintenance and display of the permanent Hall of Fame plaques and the engraving work, such as photographer and citations of the honorees.
C.Shall be responsible for collecting and updating the SWSAD accurate records of softball events held by the jurisdiction of the association.
D.Shall notify all inductee winners within sixty (60) days in advance of the Hall of Fame ceremony.
E.Shall be responsible for maintaining a list of lifetime passes annually and submit an update list to the Executive Board.
F.Shall select scorekeepers for all tournament games.
G.Shall not play/or coach/manager or as a team statistician during the tournament unless the host appoints a tournament director and is present at the tournament with Executive Board approval.
H.Shall appoint a Head Statistician for the tournament.I.Shall coordinate with umpires and host chairperson at the tournament
